About Refuweegee

Refuweegee is a community-led charity that gives people a way to welcome and embrace those newest to arrive. We strive to ensure that people who have been forced to flee their homes arrive in Scotland to a warm welcome and some of the things that will help them to feel more at home here.

 

Our busy city centre office spaces are regularly visited by over 300 people a week and their needs are met by a strong network of volunteers from old and new Scots communities.

About the Job

We’re looking for a Senior Administrator to increase our efficiency.   The post-holder will maintain, improve and develop systems to make sure Refuweegee is as effective as possible.

 

This a broad-ranging role, interacting with all departments and team members as well as representing Refuweegee externally.  This is a new post which will be line-managed by the Fundraising Manager.

About the Job’s Key Elements

The role of Senior Administrator encompasses financial management, administration and office management.     

 

The central aim of this role is pro-actively finding solutions and systems which enable Refuweegee to run smoothly and meet the needs of those who need us.

Financial management

  • Maintaining accurate financial records for internal use, Board and funders.

  • Managing all financial systems (including petty cash) with weekly bank reconciliations.

  • Working with the Director in all areas of expenditure, and with the Fundraising Manager to manage all income.

  • Assuming role as lead on all financial and accounting matters

  • Working monthly with payroll administrators and throughout the year with company accountants. 

Administration

  • Managing the Refuweegee general enquiry email account and assigning tasks to team members.

  • Assisting in the preparation of reports, presentations, and other documents as needed by the Board, the Director and the Fundraising Manager.

  • Co-ordinating the Refuweegee team diary with particular responsibilities for the Director’s diary.

  • General organisational administration duties.

Office Management

  • Maintaining and updating our Customer Relationship Management (CRM) system, ensuring that all records are accurate.

  • Completing PVG registration checks for staff and volunteers and ensuring they are timeously updated.

  • Overseeing health and safety and fire safety for all our spaces and activities, ensuring best practise and scheduling training reviews.

  • Supporting the smooth running of our reception (when needed) warmly welcoming people to our space.

Any other appropriate duties to support our mission.

  • Experience using financial recording platforms: we currently use Quickbooks.

  • Excellent organisation skills to manage a varied workload and meet project deadlines and targets.

  • Excellent written, verbal and visual communication with brilliant attention to detail.
